How we work
How an engagement actually runs.
This is the path from a first note to a working administration desk. It is the client’s view of the work, not a slogan. Nothing in the early steps is a commitment until you accept a written scope.

Initial contact
You write through the contact form or to [email protected]. A useful first note names you, the organization, the company the work relates to, and the paperwork you want in order. A paragraph is enough.
We aim to acknowledge a complete enquiry within one business day. Business days are Monday to Friday, excluding public holidays in Moldova. An acknowledgement is a reply, not an acceptance of the work.

Discovery
If the request sits inside corporate administration, we ask a short set of questions. Where do the files live today? Who is allowed to instruct the desk? Which dates are already known? Is a lawyer or accountant already appointed? What would “done” look like for you?
Discovery is how we refuse work that does not belong here. If you need a legal opinion, a tax filing, or an audit, we say so at this step and we stop.

Preparation
We send a scope note. It names the services from the administration menu, the deliverables, the cadence, the fee, the notice period, and what we need from you. It also repeats what is not included.
You accept the note in writing, ask for a change, or decline. We do not begin the file, and we do not charge, before that acceptance. The commercial shape of the note follows the engagement offer on this site.

Workflow
Once the scope is accepted, the desk works the agreed list. Records are indexed. Meeting packs are drafted for your review. Calendar reminders go to the people you named. Correspondence is logged. Contract registers are updated. Office tasks are done in the order we agreed.
You remain the decision maker. We do not sign for directors, we do not vote, and we do not send a reply to a third party until you have approved the draft, unless the scope note says a specific routine message may go without a further check.

Delivery
Delivery is concrete. A project ends when the named deliverables are issued: the index, the minute file, the register, the checklist. A monthly desk delivers a status at the agreed interval and keeps the file current until the engagement ends.
You can ask for a copy of the working file at any time. When the engagement ends, we return the materials you sent and the work product, by the method we agreed.
Communication
What you can expect, and what we ask
From the desk
- One correspondent: Alexei Cipovenco.
- Email as the channel, unless the scope names another method you already use.
- A plain status at the interval in the scope note.
- A direct statement when a task is outside administration.
- No running chat, and no claim that the desk is an emergency line.
From you
- A person who is allowed to instruct us, and a backup if they are away.
- The documents the scope depends on, sent by a method you trust.
- Confirmation of decisions and of minutes, in your own words.
- A timely answer when a date on the calendar needs a document from you.
- Corrections in writing when the task list should change.
